Note: Waiting Rooms must be enabled prior to your meeting in your Zoom account settings. You will not be able to enable your waiting room once your meeting room is open.
In-meeting file transfer allows people to share files through the in-meeting chat. In your Zoom account settings, toggle this off to prevent the transfer of unsolicited pics, GIFs, memes, and other content in the chat box.
Note: Disabling File Transfers will remove your ability to transfer files to participants as well. Disabling private chats can also prevent anyone from getting unwanted messages during the meeting. You may also consider \”Allowing Attendees to Chat with No one\” during certain parts of your Zoom session and then enabling the chat box at various times in your session. Since anyone with the link can join your meeting, we recommend that you disable \”Join Before Host\” in your Zoom account settings.
I will be sent a OTP everything I sign in. If zoom can\’t disable this ridiculous feature then I must cancel my license. Hello, when this feature was implemented? I\’m facing the same issue, there\’s no way to avoid these verifications? Hey Fabio I am struggling with the same issue!! We are a professional training company so we use Zoom to deliver online training sessions. Our licenses are shared between different trainers that deliver the session, some are in APAC, some are in Europe.
So this warning comes up whenever a different trainer signs in!!! This is so inconvenient as we can\’t give access to that shared email to everyone I know the purpose is to increase security but this is just too much! They are trying to stop us from sharing accounts! Hi Jennifer Its been suggested to me but I dont even know how this would help??
For those of you having the same issue, you can open a support ticket with Zoom and ask them to enable \” allow login from multiple resources\” feature in your account. They can do that in the backend. Once this is enabled, login verification will go away. This unfortunately did not work. The Zoom agent said we could not avoid this, which is very frustrating as we also have multiple people logging into our multiple Pro accounts. We need to get a resolution to this issue, as it sounds like it\’s impacting many users!
Hi there! The option to \’allow login from multiple resources\’ does not affect or disable OTP. If you are unable to use alternative sign-in methods, and have a use case for disabling OTP, please put in a support ticket requesting an exemption. We had 2FA enabled to secure access to our account. I am the account admin and have disabled 2FA from the security settings but it is still requiring 2FA every time I log in.
I have tried re-enabling and disabling this several times but this issue still persists. See the screenshots below. Have you check if 2FA is enabled on that exact account? As an account admin, you can set the default settings but the user themselves can overwrite in their own account. Thank you Jennifer. I am actually referring to the admin account.
I just logged in with that account on my phone to respond to this and had to go to the Authenticator to allow me log in. This is something I am experiencing directly. Thank you for your response. The original post is not about 2FA.
It was about unusual login verification which looks similar to 2FA but a different issue. I suggest you create a new post and ask this question. I\’m late to this party but just started having the same issue.
Small nonprofit, multiple accounts but multiple users per account. Did anyone ever find a satisfactory solution? The verification codes aren\’t even coming through when I can access the related email.
Incredibly frustrating! We\’re having the same issue. A small non-profit – we need to share the Zoom accounts. At the moment, we set up the emails to get auto-forwarded to 2 of us, then the teachers needs to text us if they need a code. It\’s a pain. In addition to using the Security icon menu to control meetings, consider setting the following options when scheduling meetings:.
The Waiting Room feature lets hosts control when each participant joins the meeting. As the meeting host, you can admit attendees one by one, or hold all attendees in the virtual waiting room and admit them en masse. This requires more work by the host, but only allows participants to join if you specifically admit them. Adding this measure can also save you from having to admit them from the Waiting Room, and also automatically provides their Cornell names in the meeting Participants list.
If you are scheduling a meeting where sensitive information will be discussed, it\’s best to leave Enable join before host turned off. You can find the option under Meeting Options when scheduling a meeting. Visit Zoom\’s Join Before Host help page for more information. It\’s strongly recommended that hosts also activate Only authenticated users can join when using this option.
The Join Before Host option can be convenient for allowing others to continue with a meeting if you are not available to start it, but with this option enabled, the first person who joins the meeting will automatically be made the host and will have full control over the meeting. Another option is to assign an Alternative Host. It\’s still possible for a meeting to start without you the host even if Join Before Host is disabled. If you have given someone Scheduling Privilege , which allows them to schedule meetings on your behalf, then when that person joins a meeting before you, the meeting will begin and they will be made the host.
After you join, the role of Host can be reassigned to you. Meeting passcodes previously called passwords are now required. Passcodes are encrypted within the join meeting link and participants can join without entering it.
Attendees who only have the meeting number and not the full link that includes the passcode will need to enter this passcode to enter the meeting. You\’ll need to communicate your passcode to those attendees or use a passcode known by them already. By default, screen sharing in Zoom meetings is limited to the host.
You can change this if necessary to allow other attendees to share their screens. If you do make this change and decide to return to having screen sharing be limited to the host, while in your meeting:.
This won\’t be appropriate when multiple participants will need to share and collaborate, but this restriction prevents unwanted attendees from interrupting the meeting with intrusive sharing. If you add a Zoom meeting to your calendar using the Outlook Zoom add-in, the appointment text may include the full Zoom link including the encrypted Zoom meeting passcode. If you have set up your calendar so that it is open for all colleagues to view the details of your meetings , this can expose the ability to enter the meeting to anyone who views your calendar.
You can protect the passcode by making the calendar entry private. When this option has been used to stop all video, audio, chat, screen sharing, annotation, and recording in a session, Zoom will prompt the host or co-host whether they would like to report a specific individual from the participant list, share details about the disruption, or include a screen capture of the disruption or abuse.
Please report abuse during Cornell Zoom meetings to zoomsecurity cornell. The host or co-cost can resume the meeting by going to the host menu Security icon and re-activating features listed in the Allow Participants to: section—for example, allow video, audio, chat, and sharing from participants once again. The Security icon menu lets hosts quickly and easily lock a meeting by clicking Lock Meeting.
Be aware that when a meeting is locked, no one else can join and you the host or co-host will NOT be alerted if anyone tries to join—so don\’t lock the meeting until everyone has joined. Be aware of the emotional impact that online abuse can have. Under the Security section, verify the Waiting Room feature is enabled. Notes : If the setting is disabled, click the status toggle to enable it. If a verification dialog displays, choose Turn On to verify the change. If the option is grayed out, it has been locked at either the group or account level, and you will need to contact your Zoom administrator.
Click Edit Options to select who you want to admit to the Waiting Room. Everyone : All participants joining your meeting will be admitted to the Waiting Room. Users not in your account : Only participants who are not on your Zoom account or are not logged in will be admitted to the Waiting Room.
If not logged in, they will have an option to log in. Users who are not in your account and not part of the allowed domains : Users who are on your account or signed in to a Zoom account at the domains you list will bypass the Waiting Room.
After selecting this option, enter the domain s here, separating multiple domains by a comma. Note : If Users not in your account or Users who are not in your account and not part of the allowed domains is selected, you can allow those users who bypassed the Waiting Room to admit participants if the host is not in the meeting.
Customizing Waiting Room in Zoom You can customize the Waiting Room title, logo, and description at an account, group, or user level. Here is the list with the official Zoom Documentation Guides. In the order of most important.
